Effective Date: 22 August 2026Last Updated: 22 August 2026

Important Notice Regarding Refunds & Cancellations

This Refund & Cancellation Policy applies to services purchased from Eshaare Tours FZE LLC.

By making a payment or authorising Eshaare Tours to proceed with a service, the customer agrees to this policy together with our Terms & Conditions and Privacy Policy.

1. Visa Assistance and Documentation Services

Eshaare Tours charges professional service fees for work including consultation, documentation review, application preparation, form completion, itinerary preparation, appointment assistance and related services.

Once Eshaare Tours has commenced substantive work on a customer's case, the applicable professional service fee may become non-refundable.

This non-refundable policy applies even if the customer subsequently:

  • Cancels the application or fails to submit the application
  • Changes their travel plans, destination, or decides not to travel
  • Fails to attend a scheduled appointment or withdraws an application
  • Receives a visa refusal from the issuing authority

2. Visa Refusals

Visa issuance is exclusively controlled and determined by the relevant embassy, consulate, immigration authority, or other sovereign competent government authority.

A visa refusal does not automatically entitle the customer to a refund of Eshaare Tours' professional service fee, because the agreed professional consultation and facilitation services have already been performed.

3. Government, Embassy and Visa Centre Fees

Fees paid directly or on behalf of the customer to third parties such as:

  • Embassies, consulates, and national immigration authorities
  • VFS Global, BLS International, TLScontact, or other official visa application centres

are subject strictly to the rules and policies of the respective organisation receiving the payment and are completely outside the control of Eshaare Tours. Where those statutory organisations classify a fee as non-refundable, Eshaare Tours cannot refund that amount.

4. Appointment Assistance

Fees charged for appointment-related assistance may become non-refundable once appointment-search, slot-monitoring, coordination, or booking work has commenced.

Consular appointment slot availability is determined solely by diplomatic missions and cannot be guaranteed.

Failure to obtain a customer's preferred appointment date does not automatically create a refund entitlement where the agreed appointment-assistance service and monitoring efforts have already been performed.

5. Flight Tickets

Flight-ticket refunds, cancellations, and modifications are subject to the specific airline's fare rules and tariff conditions. Depending on the fare class purchased, a ticket may be:

  • Refundable or partially refundable
  • Strictly non-refundable
  • Changeable with a penalty fee or non-changeable

Any applicable airline cancellation penalties, fare differences, supplier surcharges, and Eshaare administrative service charges will be deducted from an eligible refund.

6. Hotel Reservations

Hotel cancellations are subject strictly to the cancellation policies attached to the specific booking and room rate. Depending on the rate booked, a reservation may be:

  • Free cancellation before a stated deadline date
  • Partially refundable subject to supplier deductions
  • Non-refundable from the time of confirmation

Any cancellation charges imposed by the hotel property or accommodation booking supplier will apply in full.

7. Tour Packages

Tour and holiday package cancellation conditions depend on multiple independent suppliers, including hotels, airlines, ground transport providers, attraction operators, destination management companies (DMCs), and tour operators.

The specific quotation, invoice, or booking confirmation issued to you may contain additional package-specific cancellation conditions.

Where supplier services or excursion elements have already been confirmed, contracted, or paid, the corresponding amount may be non-refundable.

8. Travel Insurance

Travel insurance premiums, coverage terms, and policy cancellations are governed strictly by the terms and conditions of the relevant insurance underwriter. Eshaare Tours cannot override or modify an insurer's refund or cancellation rules.

9. Customer-Initiated Cancellation

Customers who wish to cancel a service must notify Eshaare Tours as soon as possible through an official communication channel (such as written email to info@eshaareuae.com).

A cancellation request becomes effective only once it has been formally received and acknowledged in writing by Eshaare Tours.

Simply failing to respond to communications, failing to provide requested documents, or failing to attend a scheduled appointment does not constitute a valid cancellation request.

10. Services Already Performed

Amounts relating to services already completed or substantially commenced are generally non-refundable to the fullest extent permitted by applicable UAE law. This includes:

Advisory & Document ReviewConsultations, eligibility evaluations, or document reviews already completed.
Application DraftingOfficial forms, visa application files, cover letters, or travel itineraries prepared.
Appointment CoordinationConsular search, slot monitoring, or appointment work commenced.
Supplier Bookings & AdminSupplier bookings processed or administrative case management completed.

11. Duplicate or Incorrect Payments

If a customer believes that they have made a duplicate payment, an incorrect payment amount, or a payment assigned to the wrong invoice, they should contact Eshaare Tours promptly with the corresponding transaction receipt and payment references.

Verified duplicate or erroneous transactions will be investigated thoroughly and, where confirmed, corrected, credited, or refunded appropriately.

12. Refund Processing

Where a refund is approved by Eshaare Tours, the total refunded amount may be reduced by applicable supplier cancellation charges, airline/hotel penalties, government statutory fees, card payment-processing charges, and administrative or contractual charges.

The refund will generally be issued back using an appropriate available payment method (typically the original method of payment), subject to payment provider, banking clearing, and card network procedures.

13. Processing Time

Refund processing turnaround times can vary depending on the respective airline, hotel, travel supplier, payment gateway provider, receiving bank, and international card network.

Third-party financial clearing schedules and supplier settlement cycles are outside Eshaare Tours' direct control.

14. Unused Services

A customer is not automatically entitled to a refund for voluntarily unused services after a trip or travel service has commenced.

This includes situations where the customer chooses not to use a confirmed hotel room, airport transfer, sightseeing tour, tourist attraction entry, flight sector, or other contracted travel component. Any potential partial refund will depend entirely on the underlying supplier's applicable terms and conditions.

15. Force Majeure and Supplier Cancellations

Where a service or itinerary is cancelled due to events outside the reasonable control of Eshaare Tours, any refund or credit voucher will depend strictly on the net amounts recoverable from the relevant travel suppliers and applicable law.

Such extraordinary circumstances may include natural disasters, acts of God, war, civil unrest, government restrictions, border closures, strikes, severe weather disruptions, public-health emergencies, airline cancellations, consular embassy closures, or other unforeseen force majeure events.

16. Chargebacks

Customers are urged to contact Eshaare Tours first if they believe there is any discrepancy or error with a transaction before initiating a bank dispute.

Submitting an unjustified or fraudulent payment chargeback after professional services or travel bookings have been delivered or substantially commenced may result in Eshaare Tours providing the full booking history, communications, payment confirmations, and service records to the payment processor, merchant bank, and relevant legal authorities.

17. Policy Acceptance

Authorising Eshaare Tours to proceed with an application or remitting payment to Eshaare Tours constitutes your full understanding and legally binding acknowledgement of the terms associated with the applicable service, including this Refund & Cancellation Policy.
